01Information we collect
We collect only what the work requires. The categories below map to what the app captures on a driver's or a manager's device and what your company records in the system.
- Account and profile data — your name, work email address, phone number, role and employee record, created for you by your company's administrator.
- Location data, including in the background — if you are a driver and you allow it, the app reports your phone's position (latitude, longitude, accuracy, speed, heading and time) while you are signed in: roughly every 30 seconds during an assigned trip, and when you move a meaningful distance while you are on duty without a trip. Collection continues when the app is in the background or closed, because trips run for hours with the phone locked; your phone shows a location indicator while it happens. It stops when you sign out or turn off location access for the app.
- Location attached to captured evidence — when you photograph a receipt, a work-order part, an inspection item or an accident, the app records where the photo was taken so the record can be verified later.
- Vehicle telematics — position, speed, odometer and sensor readings from the GPS devices fitted to your company's vehicles, received from the telematics providers your company uses.
- Photos and videos — receipts, delivery proof, inspection evidence, work-order and accident photos that you capture or attach.
- Voice recordings — optional voice notes you record against inspection items.
- Files and documents — attachments you add to tickets and document records.
- Operational and financial records — trips, fuel records, odometer readings, expense claims, cash advances, wallet balance, leave requests, training results and traffic violations linked to your employee record.
- Device information — a push notification token, device manufacturer and model, operating system version, app version and platform, so assignment and approval notifications reach the right device.
- Security records — sign-ins, the devices you are signed in on, approximate location derived from the network address, and an audit log of sensitive actions.
- Diagnostics and crash data — error reports, performance traces and the screens visited before a crash.
02What we do not collect
- We do not access your contacts, calendar, SMS messages or call history.
- We do not collect your fingerprint or face data. Face ID, Touch ID and fingerprint unlock are handled entirely by your device; we only record whether a sensitive action was confirmed by biometrics, a password or a device passcode.
- We do not use advertising identifiers, we do not show ads, and we do not track you across other companies' apps or websites.
- We do not sell personal information.
03Why we collect it
- To assign, run and prove completion of trips, including live trip visibility for dispatchers and automatic verification of arrival at geofenced loading and delivery sites.
- To show dispatchers where their drivers are during their shift, so work goes to the nearest available driver and a driver in trouble can be found quickly.
- To produce the regulatory paperwork a transport company must file, such as electronic waybills and fuel records.
- To manage vehicle maintenance, spare parts, inspections, accidents and safety compliance.
- To process expense claims, advances and payroll-related records.
- To send operational push notifications about assignments, approvals and document expiry.
- To secure the system — role-based access, audit logging of sensitive actions, and detection of misuse.
- To diagnose crashes and improve reliability.
04Legal basis and consent
Your company processes this data to perform the employment or contracting relationship between you and your company, to meet its legal obligations as a transport operator, and for its legitimate interest in operating a safe and accountable fleet; we process it on your company's instructions.
Before the app first asks for location, it shows a notice explaining what is collected and why and asks you to accept the Terms of Service and this policy; your acceptance is recorded with its date. Where the law requires consent — notably for background location — the app then asks for it through your device's permission prompt, and you can withdraw it at any time in your device settings.
05Who we share it with
We do not sell personal data or share it for advertising. Data is shared only with service providers who process it on our or your company's behalf, and with authorities where the law requires it. Which of these apply depends on the services your company uses.
- Google Firebase Cloud Messaging — delivery of push notifications.
- Sentry (EU region) — crash and performance diagnostics, which may include your user ID and the screens visited before an error.
- Google Maps and Mapbox — map rendering and address lookup.
- Government transport platforms — for example the electronic waybill (Bayan) service, where regulation requires a submission.
- Fuel-card and fuel-station providers — fuel balances and fuelling transactions for company vehicles.
- Vehicle telematics providers — position and sensor data from the GPS devices fitted to company vehicles.
- Hosting and storage providers — application hosting, databases and file storage for the photos and documents captured in the app.
06Who can see your data
Data is kept separate for each company on the platform; one company cannot see another's. Inside your company, access is role-based: dispatchers and managers see the trips, live location and records of the drivers they are responsible for, mechanics see work orders, accountants see expenses and invoices, and administrators can see the full record. Your data is never visible to the public.
07How long we keep it
- Location history is kept for as long as it is needed for trip records, billing disputes and safety investigations, and no longer than the operational and legal need. Positions older than 180 days move from the live database to a secured, access-controlled archive. A driver's latest phone position is replaced by each new report.
- Trip, maintenance, safety and financial records are kept for as long as your company must retain them under applicable commercial, tax and transport regulations.
- Crash diagnostics are retained on a rolling short-term basis by our diagnostics provider.
08How we protect it
- All traffic between the apps and our servers is encrypted with HTTPS.
- Session credentials are stored in the device's secure keystore (Keychain on iOS, Keystore on Android).
- Sensitive actions can require biometric or passcode confirmation and are written to an audit log.
- Access is restricted by role, so each person sees only the work assigned to them.
09Your rights and choices
You can turn off location, camera, microphone, photo and notification permissions at any time in your device settings. Turning off location stops trip tracking, and parts of the app that depend on it will not work.
You may request access to, correction of, or deletion of your personal data, and you may object to processing. Because accounts are issued by your company, these requests go to your company's administrator, and we help your company fulfil them; you can also write to us at [email protected] and we will pass your request to your company. You will receive an answer within 30 days. Deleting your account ends your access to the app; records your company is legally required to keep — completed trips, invoices, accident reports — are retained for the statutory period.
10Children
NAQLERA is a workplace application intended for adults in employment. It is not directed at children, and we do not knowingly collect data from anyone under 18.
11International transfers
Some of our service providers process data outside the country where you work, including in the European Union. Where that happens we rely on the provider's contractual data protection commitments and transfer safeguards.
12Changes to this policy
We will update this page when the platform's data practices change and revise the date at the top. When a change matters for your consent, the app asks you to read and accept the updated notice again.
13Contact
For any privacy question or request, contact your company's administrator — the person or team that issued your account. You can also reach the NAQLERA team at [email protected].
